2. Information about the activities of CEDRO, Intellectual Property rights and culture

If you have agreed to receive information about the activities of our Entity in any of the forms existing on the various websites of CEDRO, you are informed that the personal data provided shall be processed by CEDRO with a view to keeping you up-to-date with its activity, based on a legitimate interest in any case where a legal relationship is deemed to exist with you, or even on your consent, if you mark the box to accept the Privacy Policy, when there is no legal relationship between you and CEDRO.

You are informed that the Entity shall keep your data for the duration of the business relationship and provided that you do not object to receiving information, or provided that you do not withdraw your consent, without prejudice to their storage for the period in which any applicable legal obligations are valid.

Moreover, you are informed that, in the event that the legitimate basis is the legitimate interest, you may object to the processing of the data for the indicated purposes, at any time, by sending an e-mail to cedro@cedro.org.

3. Subscription to “CEDRO Informa” or other newsletters

If you have subscribed to “CEDRO Informa” or to any other newsletters made available on any of the websites of CEDRO, you are informed that the personal data provided shall be processed with a view to ensuring that your subscription to the corresponding newsletter is managed and that you are sent news bulletins, based on your consent, after completing and submitting the relevant form and marking the box to accept the Privacy Policy.

You are informed that the Entity shall keep your data until such time as you withdraw your consent, if applicable, and without prejudice to their storage for the period in which any legal obligations applicable to CEDRO are valid.

4. Competitions, draws and other activities organised by CEDRO

If you have taken part in any competition, draw or any other event organised by CEDRO on its websites, you are informed that the personal data provided shall be processed by the Entity with a view to ensuring that your participation in the competition/draw/organised event is managed, based on your consent, after completing and submitting the relevant form and marking the box to accept the Privacy Policy and the box to accept the terms and conditions of the competition.

Moreover, you are informed that your data shall be retained by the Entity for the duration of the contest, draw or event, until such time as you withdraw your consent, if applicable, and without prejudice to their storage for the period in which any legal obligations applicable to CEDRO are valid.

5. Contact and registration forms

If you have completed any contact or registration form on the websites of CEDRO, you are informed that the Entity shall process the personal data provided in these forms with a view to dealing with your queries and for the purposes of managing and processing the requested service, based on your consent, after completing and submitting the relevant form and marking the box to accept the Privacy Policy, or even in execution of the legal relationship existing between the parties, on the understanding that the registration gives rise to the establishment of any such relationship.

Moreover, you are informed that your data shall be retained by the Entity for the duration of the business relationship with you, until such time as you withdraw your consent, if applicable, and without prejudice to their storage for the period in which any legal obligations applicable to the Entity are valid.

6. Search for authors and/or publishers

If you are an author or a publisher and you have completed the forms relating to the search for authors or publishers, you are informed that the Entity shall process the personal data provided with a view to verifying the ownership of the corresponding work and in a bid to hand over, where applicable, any amounts to be collected, based on your consent, after completing and submitting the relevant form and marking the box to accept the Privacy Policy.

The data provided shall be retained until such time as you withdraw your consent, if applicable, and without prejudice to their storage for the period in which any applicable legal obligations are valid.

7. Access to Office 365 and other benefits

If you have completed the form relating to access to Office 365, or any other form relating to any other particular benefit, you are informed that the data provided shall be processed by CEDRO with a view to managing your access to Office 365 or the corresponding benefit; the Entity is authorised to act in this regard on the basis of the consent given by the party concerned, after completing and submitting the relevant form and marking the box to accept the Privacy Policy, or even in execution of the contract entered into by and between the parties, provided that the latter are members.

The data provided shall be kept for the duration of the contractual relationship with you or for the number of years required to fulfil the legal obligations applicable to CEDRO.

8. Blogs and related services

If you have subscribed to any of the blogs existing on the websites of CEDRO, you are informed that the data that you provide shall be processed by the Entity with a view to issuing you with information about the way in which your communication and any other matter related to the same is processed, based on your consent, after completing and submitting the relevant form and marking the box to accept the Privacy Policy, and the box to accept the terms and conditions of participation in the Blog.

The Entity shall keep your data until such time as you withdraw your consent, if applicable, and without prejudice to their storage for the period in which any legal obligations applicable to CEDRO are valid.

9. Exercising rights common to all personal data

You are entitled to receive confirmation about whether we, at CEDRO, are processing your personal data. In this case, you have rights of access, rectification, deletion, opposition, restriction of processing and portability, with regard to your personal data and to the possibility of withdrawing your consent; you may exercise these rights by contacting cedro@cedro.org in writing or by post to calle Alcalá, 26, 3ª Planta, 28014, Madrid.

In particular, if you have not been able to exercise your rights to your satisfaction, you are entitled to lodge a complaint with the national supervisory authority. For these purposes, you must contact the Spanish Data Protection Agency: C/ Jorge Juan, 6, 28001-Madrid.

10. Disclosing data to third parties

By and large, CEDRO shall not transfer your data to any third party, unless it is legally obliged to do so. However, with a view to correctly providing its services, the Entity may be required to disclose particular personal data to third parties who provide services to the Entity, exclusively for the purposes of guaranteeing that the Entity continues to operate effectively.

At any rate, the data shall be disclosed to these third parties in their capacity as processors, for the provision of services to CEDRO.

In this regard, CEDRO shall establish the corresponding processor contracts with any third parties which process or access the personal data for which the Entity is responsible, in compliance with the provisions of Data Protection regulations.

11. Website/page recommendation

Whenever CEDRO recommends or provides links to any website/page, it deems that these are of interest to the user.

The Entity is under no obligation to monitor the websites/pages that it recommends or links. These have been created by natural or legal persons or entities without legal personality and are unrelated to CEDRO. CEDRO is not involved in their management, their financing or their decisions on which content to incorporate; nor does it manage or contribute to the services provided by the recommended or linked websites/pages. The Entity shall remove any link and refrain from recommending the website/page if it receives verifiable proof that this site/page and or the services provided by the same are unlawful or violate third-party property or rights which may give rise to compensation.

13. Data security

CEDRO has adopted the security measures provided for in Personal Data Protection regulations at its work centres and/or premises, and it its systems, communications infrastructure, etc. It has also adopted, among others, the logical, physical, organisational and contractual measures which prevent unauthorised third-party access to the data, as well as the destruction, modification, reproduction, disclosure, transfer or reuse of the same.

Despite that, as long as you provide personal data on the network, there is a risk that third parties, the supervision of whose actions is beyond our control, shall be able to intercept and use this information.

Although the Entity makes every effort to protect personal information and privacy, it is not possible to guarantee the security of any information that you reveal over the network and under your responsibility.

14. Monitoring and modification of the privacy policy

The Privacy Policy established by CEDRO becomes valid on 24 May 2018; users may archive and/or reproduce it.

The present Policy may be modified in response to any corresponding changes to requirements established by applicable legislation, judicial decisions and changes to case law, and changes to the business activities and strategy of the Entity. Users shall be informed if these changes are deemed to be significant.
